What does conference photography cost?
Conference photography in the Netherlands starts from €400 on TulipFrame for a half day covering keynotes, sessions and networking. Most conferences book a full day or several days, sometimes with two photographers. The final quote varies with the programme length, the number of parallel rooms, delivery deadlines, the venue and whether you need speaker portraits.
A conference produces more photos in a day than most events do in a year, and they have to serve several audiences: the organiser's marketing, sponsors who want proof of visibility, speakers who want a good stage photo, and next year's ticket sales.

What a conference shot list includes
A typical brief covers:
- Keynotes and main stage: every speaker, wide shots showing the audience and the stage design, and reaction shots from the crowd.
- Breakout sessions: a representative selection per room, not every minute.
- Sponsors and exhibitors: every stand with branding visible, and people talking at it.
- Networking: coffee breaks, lunch, the drinks at the end.
- Speaker portraits: a quick portrait of each speaker at a backdrop, used for next year's programme.
- Venue and details: registration, badges, signage, catering.
Sponsor obligations are the easiest thing to forget. Give the photographer a list of sponsors and what each was promised.
Stage light, LED walls and parallel rooms
Conference stages are lit for the audience and the livestream, not for photos. LED walls behind speakers are far brighter than the speaker's face, and a photographer needs to expose for the face and time shots so the slide behind is readable. Photographers generally shoot silently during talks and without flash.
Parallel sessions are the scheduling problem. One photographer can cover roughly two or three rooms in rotation if they are close together; with more tracks, or a separate exhibition floor, a second photographer is usually worth it. Plan the rotation with the programme in hand.
Large Dutch venues each have their own layout: RAI Amsterdam and Jaarbeurs Utrecht are big halls with long walks between rooms; the World Forum in The Hague and Rotterdam Ahoy combine a plenary hall with smaller rooms; MECC in Maastricht is mostly exhibition space. The photographer should get a floor plan beforehand.
Deadlines and delivery
Conferences often need photos during the event: for LinkedIn posts after the opening keynote, for the closing video, for the press. Common arrangements:

Agree which of these you need, and whether the photographer edits on site. Fast delivery adds hours of work.
Consent, press and invoicing
Tell attendees at registration that the event will be photographed and how photos will be used, and give those who prefer not to be photographed a visible way to say so. Under the GDPR (AVG), this is the organiser's responsibility; check with your privacy officer.
Business quotes are often given excluding BTW; ask for an invoice in your organisation's name. For one-evening events without a programme of talks, event photography is usually the better fit, and for speaker and staff portraits outside the event, see company headshots.
Making the photos work after the event
The gallery is used for months after a conference: the recap article, sponsor reports, speaker thank-yous and next year's website and ticket campaign. A few requests make that much easier:
- Folders per day, session and room, named as in the programme.
- A highlights folder of 30–50 images the marketing team can use without scrolling through hundreds.
- Wide shots of full rooms, which sell next year's tickets better than close-ups.
- Speakers photographed with their slide visible, so the photo explains itself on LinkedIn.
- Horizontal and vertical versions of the key moments for different channels.
Share the gallery link with speakers and sponsors directly, or set up per-sponsor folders as an extra.
